This notice covers this website only. If you use the Bid Tool itself, its privacy policy also applies.

1. Who we are

Scenaxis Group Ltd (company number 17338410, registered in England and Wales), First Floor Office 3, Hornton Place, London W8 4LZ, United Kingdom, is the controller of the personal data described here. Contact: supportbidtool@scenaxis.com.

2. What we collect

• Contact form: your name, email address, company (optional), the topic and your message.
• Demo request form: your name, work email, company, phone number (optional), how many people work on bids, how many tenders you respond to a year, your preferred date and time, and any message.
• Visit statistics: pages viewed, the site that referred you, your browser, device type and country, and clicks on buttons such as "Start free trial". These are counted in aggregate, without cookies and without identifying you (see section 5).
• Pitch calculator: the figures you type stay in your browser. We don't receive or store them.

3. Why we use it (lawful basis)

• To reply to your message, arrange and give a demo, and follow up on it: our legitimate interest in answering enquiries, or steps you ask us to take before entering into a contract.
• To understand how the website is used and improve it: our legitimate interest. The statistics don't identify you.

We don't use your details for unrelated marketing, and we never sell them.

4. Who processes it for us

• Netlify, Inc. (United States): hosts this website, receives the forms and emails them to us.
• Our email provider: stores the messages we receive and send.
• Plausible Insights OÜ (Estonia, EU): cookie-free visit statistics. Plausible doesn't store IP addresses or use cookies.

5. Cookies

This website doesn't use cookies, advertising trackers or social media pixels, so there is no cookie banner. Fonts and images are served from this website, not from third parties.

6. International transfers

Netlify processes data in the United States. Those transfers are protected by the UK–US data bridge or by the UK International Data Transfer Addendum in Netlify's data processing agreement.

7. How long we keep it

Enquiries and demo requests: up to 24 months after our last contact with you, then deleted. If you become a customer, the Bid Tool privacy policy applies from then on. Visit statistics are aggregate and kept for as long as they're useful.

8. Your rights

You can ask to access, correct or delete your data, or object to how we use it, by emailing supportbidtool@scenaxis.com. You can also complain to the Information Commissioner's Office (ico.org.uk).
